Guide
How do you replace the Excel files that run your company?
You replace Excel files by following a real case, keeping what works and migrating in batches, not by deleting them all at once. At C-Esium, a half-day assessment workshop, on site or by video, identifies the tools that are used and those that are abandoned, then the internal software brings them together in a single tool. If your files can take the load, keeping Excel is a good decision.
An Excel file is often born of a real need: someone wanted to track quotes, a schedule or projects, and the spreadsheet was enough. Then the file became critical, copied by other teams, re-keyed into another tool, and nobody dares touch it any more. This guide explains how to get out of it without breaking anything, and when not to.
What is the short answer?
Replace the files that carry shared, re-keyed or critical processes. Keep the others. The method comes down to four moves:
- Map: follow a real case and list every file and every re-keying.
- Sort: keep, replace or remove each tool.
- Build in batches: a V1 on the scope that costs the most time, then the rest.
- Switch over gently: the old way of working stays in parallel until the team has adopted the new one.
Which signs show that Excel is no longer enough?
None of these signs is proof on its own. Together, they show that the spreadsheet carries more than it was made for.
- The same information is re-keyed into several files or into another piece of software.
- Only one person knows how the file works, and the team is stuck when they are away.
- Several versions of the same file circulate, and people wonder which one is right.
- Management waits for the end of the month to know the margin on a job.
- Field teams have dropped the official tool for a spreadsheet, a notebook or sticky notes.
- Each branch or team keeps its own file, with no consolidated view.
At C-Esium, these findings feed the central question of the assessment: where is the margin being lost, between re-keying, waiting, errors and reminders?
How do you replace your Excel files, step by step?
| Step | What you do | Expected result |
|---|---|---|
| 1. Follow a real case | From the customer’s call to payment, note every tool, every file, every re-keying | A map of the current process |
| 2. Quantify | Estimate in time what the friction costs: re-keying, waiting, errors, reminders | A prioritised list |
| 3. Sort | For each file: keep it as it is, bring it into the new tool, or remove it | A target scope |
| 4. Build a V1 | Start with the most costly scope, with regular demos | A first real use |
| 5. Migrate the data | Clean, then import the useful history | A reliable database |
| 6. Switch over | Run the old and the new in parallel, then retire the files | A single reference tool |
Two points often decide the outcome:
- The people who keep the files know the special cases. Involve them from the start: their files are the best specification of what really matters.
- An in-house lead on the client side is necessary. Without one, a tool, however well built, is not adopted.
What C-Esium does
C-Esium designs and delivers custom internal business software, with artificial intelligence built in from the first version, for SMEs and mid-sized companies in every sector. On this specific subject, the approach is as follows:
- Assessment: a half-day workshop, on site or by video, to observe the real journey of a case, the tools that are used and those that are abandoned. You then receive a scoping document with a firm quote.
- A non-invasive approach: keep what works, add what is missing, remove what nobody uses. A file that works well and that your teams master does not necessarily have to disappear.
- A single tool: from the customer request to payment, with CRM, quotes, jobs and projects, teams and scheduling, purchasing and inventory, invoicing and cash, document management and real-time reporting. Connections to accounting, payroll, calls and SMS and technical software remove the remaining re-keying.
- Progressive delivery: a focused V1 in 1 to 2 months, a demo every 2 weeks, then batches. The project code, the database and the documentation are assigned to you, and your current tools stay in parallel during the switch-over.
- AI from the V1: once the data is in a single tool, a copilot answers on your real data, and a read-only, logged MCP connector lets you query it from Claude, ChatGPT or the application’s chat. Scattered files do not lend themselves to this.
A focused project starts from AED 40,000; a complete internal software starts from AED 200,000 (excluding VAT). For clients in France: from €10,000 and €50,000 excluding VAT. To replace one critical spreadsheet first, a focused project can cover a single module as a V1, or automations between your tools to stop re-keying. The price is set in a firm quote after scoping and paid in milestones. The details are in how much does custom business software cost.
What does it look like at Tech-O?
Tech-O is a network of non-destructive water-leak detection companies, rooted in rope-access work and organised as a franchise network, with branches in Saint-Étienne, Ambérieu-en-Bugey, Annecy, Limoges, Bourg-en-Bresse and the Lyon area (France). Sales, scheduling, technicians, head office and accounting work in a single internal software built by C-Esium.
According to estimates made by C-Esium with Tech-O: more than 3,000 hours saved per year, 30% operational gains and 20% fewer human errors. These figures cover the whole software, not just the replacement of files. The details are in the Tech-O case study.
When is Excel still enough?
Keep Excel, or an equivalent spreadsheet, in these situations:
- the file meets a simple, stable need, kept by one person or a small team;
- it is not re-keyed anywhere else and nobody expects a consolidated view;
- it is used for one-off analyses, simulations or exports: the spreadsheet is then the right tool;
- the company is small, with a budget below AED 40,000 (€10,000 in France): off-the-shelf software or better-organised files will suit you better;
- your processes are standard: off-the-shelf software will suit you better than a development. See custom software or an off-the-shelf ERP.
When is it not the right option?
Custom internal software is not the right answer if:
- nobody can take on the role of in-house lead;
- the problem is one of organisation (who does what, and when), not of tools: new software will not solve it;
- you want a like-for-like replacement: moving a badly designed file into software reproduces its flaws.
To see where you stand, the 2030-ready assessment compares the options (off-the-shelf software, ERP or custom) and gives an order of magnitude for the budget. The first contact is a 30-minute call. For a qualified project, the first call and the half-day assessment workshop — on site or by video — are free: nothing is invoiced before the project starts.
Frequently asked questions
Does an SME have to replace Excel?
No. If a file is kept by one person, for a simple and stable need, Excel remains a good tool. You replace it when files multiply, copy each other or become essential to several teams.
Where do you start when replacing Excel files?
With a real case followed from end to end, from the customer request to payment. Note every file touched, every re-keying and every wait. C-Esium does this exercise during the half-day assessment workshop, on site or by video.
Does the internal software replace everything at once?
No. C-Esium’s approach is non-invasive: keep what works, add what is missing, remove what nobody uses. A focused V1 is delivered in 1 to 2 months, and your current tools stay in place during the switch-over.
Can we replace just one critical spreadsheet first?
Yes. C-Esium’s focused project, from AED 40,000 excluding VAT (€10,000 in France), covers a single module as a V1, such as CRM, scheduling or quotes and invoicing, delivered in 1 to 2 months. It can later grow into the complete software.
What happens to the history in our Excel files?
Migrating historical data is part of the scope decided at scoping, and it is a price factor. It needs preparation: the quality of the data going in determines the quality of what the tool will show.
