How much does custom business software cost in 2026?

Beyond that there is no price grid: the budget depends on your size and daily users, your sites and business units, your current tools and the scope. How much does custom business software cost at C-Esium?
A complete internal software starts from AED 200,000 excluding VAT (€50,000 for clients in France). Beyond that there is no price grid, and that is deliberate: two companies of the same size can have very different needs. A company of about fifteen people can, from AED 200,000, bring its key operations together in a single tool. A company with several business units, hundreds of daily users and data scattered across many tools will need a much larger budget.
That is why the price is set after the assessment, once your situation is known. During a half-day workshop, on site or by video, we follow the real journey of a case, list your tools and your data, then quote a written scope.
On timing: a V1 on a focused first scope (for example, from customer request to invoice) is delivered in 1 to 2 months. Software covering the whole company takes from 6 months to more than a year, delivered in batches. AI is built in from the V1.
Can you start with a smaller budget?
Yes. To start smaller: a focused project, from AED 40,000 — a single module as a V1, an AI connector on your current tools, automations between your tools or a mobile app for field teams. It can later grow into a complete internal software. For clients in France, a focused project starts from €10,000 excluding VAT.
A single module (CRM, scheduling or quotes and invoicing) is delivered in 1 to 2 months. The ownership rules are the same as for a complete software: you own the code. Here too, the exact price is set after the assessment, in a firm quote. Details are on the focused project page.
What makes the price vary?

How is a project paid for?
- In milestones: kick-off, mock-ups, screen approval, delivery. You pay for what you see progress.
- In batches: a useful V1 quickly, then successive batches following the roadmap set at scoping.
- No licence: no per-user subscription, no royalty on the code assigned to you.
- Optional maintenance: a monthly package, if you want C-Esium to maintain your software after delivery.
The first contact is a 30-minute call. For a qualified project, the first call and the half-day assessment workshop — on site or by video — are free: nothing is invoiced before the project starts. For a first order of magnitude based on the size of your company, use the online estimate: it does not replace the assessment.
Over 5 years, is it more expensive than a SaaS subscription?
Compare full costs, on the same scope and over the same period. The method fits in two formulas:
- SaaS cost over 5 years = sum of the annual subscriptions (users × monthly price × 12, with the annual increase) + set-up and configuration + paid modules and connectors + cost of workarounds (re-keying, parallel spreadsheets).
- Custom software cost over 5 years = build + 5 × (hosting + maintenance + further developments) + cost of the remaining workarounds.
Worked example — entirely hypothetical. The values below are neither vendor prices nor C-Esium rates: replace them with your own.

SaaS side: 40 × 300 × 12 = AED 144,000 in year one. With a 5% increase each year, the subscriptions add up to about AED 795,700 over 5 years. Adding set-up (AED 80,000) and connectors (AED 60,000), the direct cost reaches about AED 935,700.
Custom side: AED 450,000 to build. Custom software stays cheaper over 5 years as long as hosting, maintenance and further developments cost less than (935,700 − 450,000) ÷ 5 ≈ AED 97,100 per year. That is the threshold to compare with the real amounts in your quote.
Run the same calculation with 15 users: the subscriptions fall to about AED 298,400, or AED 438,400 with set-up and connectors. That is less than the build alone: here, SaaS wins.
What the calculation does not show:
- Re-keying. Cost it at the fully loaded hourly rate: in our assumption, 10 hours a week at AED 150 an hour over 47 weeks comes to about AED 70,500 a year, or more than AED 350,000 over 5 years. Do not assume custom software removes all of it; measure it during the assessment.
- After five years. The subscription goes on; owned software stays yours, with only its running costs.
- Your team’s time. A custom project needs an in-house lead and regular approvals. It is a real cost, and a condition of success.
- The accounting treatment. Whether the build is an expense or an asset is decided with your accountant. See rent or own your business software.
Firm quote or price range: what difference does it make?
A range (“between AED 300,000 and AED 550,000”) leaves the uncertainty on your side. A firm quote commits the provider to a price for a written scope.
At C-Esium, the firm quote is delivered at the end of scoping, with the map of your current process, the friction quantified in time, the target scope, the integrations and a phased roadmap. It is possible because the assessment follows the real journey of a case, from the first call to the invoice.
A firm quote does not freeze your project: any request outside the written scope is simply quoted separately, before work starts. Be wary of a firm price given without scoping: either the scope is vague, or the safety margin is in the price.
How do you read a quote for custom software?
Before signing, check that the quote answers these questions:
- Scope: is it described in processes and screens, not only in development days?
- Integrations: are they listed one by one, with the direction of each data flow?
- Data migration: is it included and priced?
- Payment milestones: do they match deliverables you can see and approve?
- Acceptance: who approves each batch, and against which criteria?
- Ownership: is the assignment of rights to the project code, the data and the documentation written into the contract?
- Recurring costs: are hosting, maintenance and further developments priced, or at least described?
- Training: are training and support for your teams planned?
- Exclusions: is what is not included written down in black and white?
When is custom software not the right option?
Custom software is not always the right answer. Choose off-the-shelf software instead if:
- your processes are standard and a SaaS for your sector already covers them;
- your budget is below AED 40,000 (€10,000 in France); if it is below AED 200,000 and you want the whole company covered, start instead with a focused project on the process that costs you the most time;
- your team is small and the 5-year calculation favours SaaS, as in the 15-user example;
- nobody in-house can lead the project: without an internal lead, a tool, however good, is not adopted.
